COA & Product Specification Verification

The producer's certificate of analysis is reviewed against the contracted specification before loading, so the documents that travel with your cargo describe what you agreed to buy.

What documents accompany a fertilizer shipment?
A typical export set includes the commercial invoice, packing list, certificate of origin, certificate of analysis (COA) and bill of lading. Depending on the contract and destination it can also include an SGS/Intertek inspection certificate, MSDS, an insurance certificate under CIF, and destination-specific certificates such as phytosanitary or fumigation documents. The exact set is confirmed before contracting.
When is a Certificate of Analysis issued?
The producer issues a COA for the production lot or shipment, normally before or at loading. Where independent inspection is contracted, the inspection company samples and analyses the cargo at the load port and issues its own certificate, which can be compared with the producer's COA and the contract specification.
Can SGS or Intertek inspection be arranged?
Yes. Pre-shipment inspection by SGS, Intertek or another agreed agency can be coordinated at the load port, covering sampling, laboratory analysis and quantity survey (weight or draft survey). The scope, the agency and who bears the cost are set in the contract.
Who issues the Certificate of Origin?
It is usually issued by a chamber of commerce or another authorised body in the export country, on application by the exporter or shipper. Some destinations require a specific format — for example a preferential origin certificate under a trade agreement — so tell us your destination before contracting.
When is an insurance certificate required?
An insurance certificate is provided when marine cargo insurance is part of the seller's obligations, most commonly under CIF terms. Under FOB or CFR the buyer normally arranges insurance. Letter-of-credit terms may also specify the cover and the form of the insurance document.
Do documentation requirements differ by destination?
Yes. Requirements vary by product, origin, destination country, importer status and shipment method — for example import permits, product registration, pre-shipment inspection or label-language rules. Our country pages summarise common considerations, but final requirements should be confirmed with your authorities and customs broker before shipment.
When are original shipping documents released?
Original documents, including the bill of lading, are released according to the agreed payment terms — for example after payment under T/T, or presented through the banks under a letter of credit. They are sent by courier, or released electronically (telex release or sea waybill) where the contract and destination allow.
Can the documents be used for letter of credit (LC) transactions?
Yes. Documents can be prepared to match the documentary requirements of an agreed letter of credit. Because banks check documents strictly against the LC wording, the LC terms — document list, descriptions, presentation period and shipment dates — should be agreed before the LC is issued.
Who is responsible for customs clearance at destination?
Under FOB, CFR and CIF terms, import clearance at destination is the buyer's responsibility and is normally handled by their nominated customs broker. We provide complete export-side documentation and inspection coordination and support the broker with the documents and information they need.
